What we collect when you get in touch, why we collect it, who sees it, and what you can ask us to do with it.
Who we are
Tyne Webcraft is a web design studio run by Michael Wake and Arlo Bell in Newcastle upon Tyne, England. We are the "data controller" for the personal details described here, which means we decide how they are used. You can reach us about anything in this notice at [email protected].
What we collect, and why
When you use the contact form or email us: your name, email address, phone number if you give it, the subject and message you write, and any photos you attach. We use these to reply to you and to discuss the work you are asking about. Our lawful basis is our legitimate interest in answering enquiries about our services, which does not override your rights.
If you become a client: your business name and contact details, the content you give us for your website, and the records we need to invoice you and keep our accounts. Our lawful basis is the contract between us, and for accounting records, our legal obligations.
When you visit the site: our hosting provider's servers record technical details such as your IP address, browser type and the pages requested, in the normal course of serving the site and protecting it from abuse. We do not use this to identify you.
We do not use your details for marketing unless you have asked us to, and we never sell them.
Cookies and tracking
This website does not set cookies and does not use analytics or advertising trackers. Fonts, images and code are served from our own site, so visiting it does not send your details to third-party font or tracking services. Because there is nothing to consent to, there is no cookie banner.
Who we share your details with
- FormSubmit, which delivers what you type into the contact form to our studio inbox.
- Cloudflare, which hosts this website and delivers it to your browser.
- Our email and accounting providers, so we can reply to you and keep proper records.
- Nobody else, unless the law requires it.
Some of these providers process data outside the United Kingdom. Where they do, they are bound by safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.
How long we keep it
Enquiries that do not lead to work are deleted within 12 months. Client records are kept for six years after the work ends, because HM Revenue & Customs requires us to keep business records for that long. Website content you give us is kept for as long as we look after your site, then returned to you or deleted.
Your rights
Under the UK General Data Protection Regulation and the Data Protection Act 2018 you can ask us to:
- tell you what personal details we hold about you and give you a copy;
- correct anything that is wrong;
- delete your details, where we have no lasting reason to keep them;
- stop or limit how we use them, or object to our use of them;
- pass your details to you or to another provider in a usable format.
Email [email protected] and we will respond within one month. There is no charge. If you are not happy with how we handle your details you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113, though we would ask you to raise it with us first so we can put it right.
Keeping your details safe
The site is served over HTTPS, so what you send us is encrypted on the way. Enquiries and client files are kept in password-protected accounts that only the two of us can access.
Changes to this notice
If we change how we handle personal details we will update this page and the date at the top. Significant changes affecting current clients will be emailed to them.
